Procedures for the Room Indicator, Interactive (ResourceXpress Aura)¶
Purpose¶
Purchasing and setup requirements for the Room Indicator, Interactive (Aura) panels on the Georgia Tech Campus.
Objective¶
The Room Indicator, Interactive hardware and software services are built around a 10.1” Capacitive Touch Panel. The selected Aura Meeting Room Screen from ResourceXpress has built in side and front LED lights to provide a clear indication of room status and availability. This document provides a guideline for the installation within the Audio Visual Services enterprise support structure designated for the Room Indicator, Interactive service.
Purchasing¶
The hardware component, extended hardware warranty, and software license are part of a manufacturer product code created for Georgia Tech.

Local Department Responsibility¶
Audiovisual Services does not control the room resource(s), business rules, or scheduling information for utilizing the Room Indicator, Interactive platform service. The configuration of the applicable room(s) for use with the service is the responsibility of the room(s) designated responsible party, usually the Building Manager or their representatives.
Create and/or Identify Room Resource¶
Audiovisual Services supports the use of EMS or Office 365 enterprise calendaring systems with the Room Indicator, Interactive.
EMS¶
Capital Planning & Space Management (CPSM) is the service manager for EMS, aka GT Events. CPSM can direct you to the appropriate building events manager for creation or modification of EMS managed spaces. Please see their site for more information: http://www.space.gatech.edu/gt-events
The Room Indicator, Interactive (ResourceXpress) platform server connects directly to GT Events to pull current and upcoming bookings.
Office 365¶
The local department is the owner for any Office 365 mailboxes. If one does not exist, the department IT representative (CSR) will request one be created. Please see the Email Toolbox for more information: https://emailtoolbox.gatech.edu/
The Room Indicator, Interactive (ResourceXpress) platform server connects directly to Office 365 to pull current and upcoming bookings. A/V Services will provide an existing service account to be added for permissions to view the resource.
Installation¶
Audiovisual Services will assist with the multi-step process to configure the devices for use at Georgia Tech.
Physical¶
The Aura Meeting Room Screen features a VESA mount. This allows the device to use a third party accessory to mount to the wall or mullion.
NOTE: Do not adhere directly to glass.
Power¶
The Aura Meeting Room Screen uses PoE+ (Power over Ethernet) 802.3at (30W), reducing cable clutter and the need for local mains power outlet.
Care in design should be made for required power draw from applicable network switching equipment.
Network¶
Audiovisual Services supports connections to the platform server over connections directly wired to and managed via the Georgia Tech network. Wireless (LAWN) access will not be permitted. The addition or use of third party and/or departmentally managed or unmanaged switches is not permitted.
Room Indicator, Interactive (ResourceXpress) Platform Setup¶
Audiovisual Services will need the following data items to add each room indicator to the platform server. - GT Building Number - GT Building Name - GT Room Number - Room Name (optional) - Floor Number - Office 365 resource account name or UPN. (if using Office 365)
Aura Panel Hardware Setup¶
Audiovisual Services will configure the hardware for operation on the GT Network. This will include entries within GTIPAM and BoK. - GT Building Name - GT Room Number - Device MAC address - Actual Installation Date - GT Switch IP Address - GT Switch Port Number
Audiovisual Services will configure the hardware panel to utilize the defined platform server resource.
